This is an exciting opportunity to work for one of the top law firms in the U.S.! Davis Wright Tremaine LLP is looking for a Legal Assistant & Document Processing Manager to join our team in our New York office.

This position will be responsible for providing daily supervision to the legal assistant team in New York and the document processing & overflow services (24/7) team firmwide to ensure they are meeting the needs and goals of the firm by producing timely, high quality work and customer service. This position also assesses performance, establishes goal-setting objectives, advises on policies and procedures, and works with firm leaders on projects and initiatives.

On a typical day you will:

  • Provide day to day supervision for the legal assistant and DP&OS staff, including managing staffing levels, coverage and scheduling. Facilitate onboarding and team integration
  • Conduct semi-annual check-ins with goal-setting, determine compensation, provide coaching and handle any performance or employee relations issues
  • Motivate staff; promote positive change and actively facilitate necessary training to develop the legal assistant and document production staff
  • Monitor and ensure that the legal assistant staff and DP&OS work product is timely, accurate and meets the needs of the attorneys, paralegals and clients
  • Establish, document and maintain policies and procedures; identify and implement process improvements to increase efficiency and accuracy
  • Manage business partner relationship with outsourced word processing vendor
  • Welcome challenges and take a proactive approach to problem solving
  • Mentor and share valuable training information with others. Act as a knowledgeable resource for the Department and internal contacts regarding policies and procedures
  • Efficiently manage complex and challenging workflow; track overtime usage in support of budget management
  • Prepare reports on key metrics for senior management
  • Stay current on new software programs and applications, partner with Information Technology (IT) to help select most appropriate applications for DP&OS team
  • Take initiative to understand attorneys’ client service needs; identify opportunities for legal assistants to contribute to client relationship success by raising concerns and/or opportunities to improve; offer potential solutions and participate in the agreed upon course of action to reach the desired goals
  • Advise attorneys and staff members and/or departments on the capabilities of DP&OS
  • Perform other related duties as assigned

 

Join us if you have:

  • 6+ years’ experience as a legal assistant in a law firm environment is required; acting in a lead role or supervising staff is a plus
  • Ability to supervise a team of 15+ staff; creating a positive working environment for a team of employees, investing in their successes and being a leader by example. Ability to provide feedback and constructive criticism to staff
  • A college degree or equivalent work experience
  • Ability to establish effective working relationships among attorneys and staff, assess their needs. Ability to communicate effectively and professionally with lawyers, clients, and staff
  • Ability to effectively apply good judgment and provide direction to team of employees
  • Ability to understand and follow work directions, manage multiple priorities and respond to urgent requests with minimal supervision
  • Ability to take initiative and ownership of projects and follow them through to completion, regardless of who is doing the work
  • Expertise in Microsoft Word and Outlook is essential.  Must also be proficient in Excel and PowerPoint.
  • Excellent communication skills, both verbal and written, with clients, firm members, and other business contacts
  • Exceptional interpersonal and customer service skills, and the ability to handle stressful situations in a calm, composed manner
  • High attention to detail and be highly organized and accurate
  • Ability to organize assignments, work under pressure and meet deadlines
  • Ability to read and write English
  • Ability to work effectively in a team-oriented, service environment
  • Availability and willingness to work overtime, including weekends as needed or requested
