Our national, best-in-class Patent Group is looking for a Practice Assistant to help supports its profitable growth and effective operation in Seattle. This role would offer a hybrid schedule - meaning you would work remotely two days a week.

In this role, you will provide executive-level support to the Co-Chair of our Patent group. You will collaborate with our patent attorneys, understand the practice and clients, and own non-billable administrative tasks. This could include interacting with clients and responding to requests, managing billing processes, and taking ownership of multiple projects. This position requires a high ability to work independently as well as in a team environment with timekeepers and staff members.

On a typical day you will:

  • Act as an intermediary with internal and external clients and respond to requests, demonstrating a high level of written and verbal communication skill
  • Tackle day-to-day administrative needs, including but not limited to scheduling conference rooms, making travel arrangements, processing client billing, and preparing expense reports
  • Take initiative to understand attorneys’ client service needs; identify opportunities to contribute to client relationship success by raising concerns and/or opportunities to improve; offers potential solutions and is willing to participate in the agreed upon course of action to reach the desired goals
  • Monitor project deadlines and communicate with others to ensure compliance with client expectations
  • Process incoming correspondence and coordinate with attorneys on responses

  • Demonstrate strong executive-level support with prior experience supporting c-suite or attorneys preferred
  • Become a trusted collaborator with our attorneys to understand their practice and leverage resources to make administrative processes more efficient
  • Work efficiently and take initiative
  • Exercise a high degree of attention to detail
  • Be agile when faced with frequently changing needs, which will require prioritizing tasks, tracking competing deadlines, and communicating at a high-level with an exceptional focus on client service
  • Communicate at a consistently high-level, both written and verbal, demonstrating maturity, strong interpersonal skills, and maintaining confidentiality
  • Demonstrate strong word processing and computer skills; solid working knowledge of MS Word, MS Excel and MS Outlook required, experience with all MS Office 2010 products preferred. Proofreading, NetDocs and PowerPoint skills desired
