This is an exciting opportunity to work for one of the top law firms in the U.S.! Davis Wright Tremaine is looking for a Client Program Coordinator to join our team in Seattle.

This position is responsible for providing high level support for a client’s arbitration and litigation project teams. Primary responsibilities include overseeing case management, contributing to process flow organization, and serving as a liaison between the client and interoffice departments.  Other tasks include processing and organizing client files, drafting court documents, and corresponding with courts and tribunals. Candidates must be highly detail orientated, exercise sound judgment, and possess strong administrative, organizational, and interpersonal skills while prioritizing and managing multiple assignments.

In this role, you will:
  • Type, proofread, format and edit correspondence and other legal documents, with short notice and tight deadlines
  • Perform daily entry of collected data and documents into SharePoint site
  • Perform daily communication by telephone, email, and mail with outside parties such as creditors and debtors; counsel within and outside the firm; project team members; clients; and various other individuals, entities and agencies
  • Answer, screen, and respond to phone calls
  • Accurately and completely record billable time spent and tasks performed in accordance with firm policy and client-imposed billing protocols; enter and release time promptly in compliance with the firm’s announced deadlines
  • Initiate conflict checks
  • Escalate priority matters to appropriate individual’s attention
  • Other duties as assigned
Join us if you have:
  • 1+ years as a legal assistant or similar administrative experience
  • A high school diploma or GED certification
  • Ability to read and understand court rules, and ensure compliance with local rules and practices; ability to locate various courts and their respective rules on the internet
  • Strong skills in word processing and computer use: ability to type 65 wpm with high accuracy
  • Proficiency in MS Office Products (Word, Outlook, Excel) and Adobe Acrobat or Nuance 
  • Ability to perform internet research 
  • Knowledge of Intapp Time, NetDocuments, and SharePoint sites preferred 
  • Knowledge of office equipment such as copiers, printers and scanners 
  • High attention to detail and sensitivity to confidential materials 
  • High level of energy; able to work at a fast pace; multitask; and prioritize tasks 
  • Excellent grammar, proofreading and organizational skills
  • Demonstrated ability to work in a team-oriented, service focused environment and to handle stressful situations in calm, composed manner 
  • Ability to understand and follow work instructions with minimal supervision 
  • Availability and willingness to work overtime as needed or requested
  • Strong communication skills in English, both verbal and written, with all levels of a professional services organization, including interpersonal skills 
  • Strong customer service, analysis, troubleshooting and problem solving skills 
  • Demonstrated ability to learn new technologies quickly and independently
  • Must be a team player and have ability to work independently, with minimal supervision 
  • Availability and willingness to work overtime as needed or requested 
  • Previous experience in a law firm or professional services organization, supporting a multi-office environment, preferred
PHYSICAL REQUIREMENTS
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to sit; stand; walk; and occasionally stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.
